7 Bookkeeping Habits for Cleaner BAS and Better Cash Flow

Good bookkeeping is not simply about keeping the tax office satisfied. Accurate, up-to-date records tell you what the business can afford, which customers owe money and whether expenses are quietly increasing.

These seven habits can reduce BAS stress and give you better information for everyday decisions.

1. Keep business and personal spending separate

Use dedicated business bank accounts and cards wherever possible. Mixing personal and business transactions creates extra work, increases the risk of miscoding expenses and makes it harder to understand the business’s true position.

2. Reconcile bank accounts regularly

Reconciliation compares the transactions in your accounting system with the bank. Doing this weekly—or at least monthly—helps identify duplicate entries, missing income, bank fees and transactions entered for the wrong amount.

3. Capture receipts when you receive them

Photograph or upload receipts while the purchase is fresh in your mind. A digital record-keeping system can attach the evidence directly to the transaction and reduce boxes of fading paper.

The ATO generally requires businesses to retain most records for five years. Records must explain the transaction and be stored in a form that can be accessed if required.

4. Use consistent transaction categories

Decide how common expenses should be coded and apply that approach consistently. When similar purchases jump between repairs, equipment, motor vehicle and general expenses, financial reports become less reliable.

5. Review unpaid invoices every week

A profitable business can still run short of cash when customers pay late. Review accounts receivable weekly, send invoices promptly and follow up overdue amounts consistently.

6. Set aside GST, PAYG and super

Amounts collected for GST or withheld from wages are not ordinary spending money. Many businesses use a separate savings account and transfer estimated tax obligations into it regularly.

7. Review reports before BAS time

Before the BAS is prepared, review the profit and loss, balance sheet, GST reports, payroll totals and any unusual or uncoded transactions. Comparing the quarter with previous periods can expose a missed invoice or coding error before it flows into the lodged figures.

What good bookkeeping gives you

With clean records, BAS preparation becomes faster, tax invoices are easier to locate and your accountant spends less time repairing the file. More importantly, you can see how the business is performing while there is still time to respond.
